Most trucking software is built for fleets and priced for fleets. Your records live on the server, not on one phone. Enter a fuel stop on the phone at the pump and it is on the laptop when you sit down to do paperwork. Lose the phone and you have lost a phone, not your books.
Documents are stored per account and separated at the storage layer, so one account cannot reach another's paperwork. Passwords are never stored in a form anyone can read back, and you can add a fingerprint or PIN lock so the app asks for you before it opens.
Scanning uses AI to pull the numbers off a rate confirmation or receipt so you are not retyping them at midnight. What the AI reads is always shown to you before it is saved — it fills the form, it does not file your books for you.
OTRKeychain was built by an owner-operator who struggled first — and failed before he learned the part nobody teaches you.
It was not for lack of work or hours. It was not knowing the numbers. The loads got hauled, the revenue came in, and at the end of the month the money still did not add up. Gross is not profit. Nobody hands a new owner-operator a profit and loss statement and explains what fixed costs do to a rate, or why a load that looks good on the board loses money by the time it is delivered.
What turned it around was not more miles. It was financial discipline: knowing the real cost per mile, knowing what a load actually nets after fuel, the carrier's cut, and the bills that keep running whether the truck moves or not. Once those numbers were visible, the decisions got easier and the stress dropped — not because the work got lighter, but because the guessing stopped.
That is the whole idea here. The hard part of this business is not driving. The hard part is working out where the money went, and most owner-operators are doing that at midnight after a fourteen-hour day, with a shoebox of receipts and a settlement they cannot check. We may publish aggregated industry benchmarks built from de-identified data — the kind of lane and fuel-cost trends the big carriers already have and owner-operators usually do not.
